Frequently Asked Questions — AFC System, Setup and Pricing

Last updated: 08.08.2026 · Technical content: SoleAkbil Engineering Team

This page collects the questions most often asked by district municipalities, minibus and shared-taxi cooperatives, private bus operators and shuttle companies considering an automated fare collection (AFC) system. You will find clear, technical answers on pricing, setup time, offline operation, card types, security and data protection.

Pricing and Setup

How is AFC system pricing determined?

There is no fixed list price; cost comes from three items: (1) validator hardware, one per vehicle, (2) central SaaS panel usage, (3) consumables such as card and QR ticket printing. Fleet size, the access methods you need (cards only, or EMV credit card too) and integration scope determine the total budget. Share your vehicle count and route structure and we will prepare an itemised quote.

Is this system too big for a small municipality or cooperative?

No — Sole Akbil is positioned specifically for this segment. Enterprise-scale solutions are designed around metropolitan tenders, which makes them heavy and expensive for a district municipality or cooperative. Sole Akbil delivers the same technical capability (offline operation, ledger, 20+ reports) at the budget and setup speed of a small or medium operator.

How long does setup take?

It depends on vehicle count and whether card printing is ready. The panel is cloud-based, so no server installation is required; in the field, validator mounting and driver training are the main items. See our projects for real deployments.

Do I need to install a local server?

No. The system is cloud-based; devices sync over SIM internet and the panel is accessed from any browser. Fleets in different cities are managed from a single panel.

How It Works

Can cards be read and topped up without an internet connection?

Yes. The Sole Akbil Bus Validator continues reading Mifare cards and topping up balances without interruption even when the internet is down; the transaction is processed locally and synced automatically once connectivity returns. NFC phone and QR ticket access run online through the software. More: offline fare collection system.

Which access methods are supported?

Four methods in a single validator: Mifare card and NFC phone, QR ticket and EMV credit card. Passengers choose their preferred method; the operator manages one infrastructure.

How many card types can be defined?

12 card types: Full, Student, Free, Discounted, Retiree, Teacher, Blue Card/Monthly Pass, Limited-Use Ticket, Phone NFC Card, Family Support Card and 2 custom card types. The validator distinguishes the card type with an audible cue.

Can automatic discounts be set for birthdays or public holidays?

Yes. A percentage-based birthday discount and an unlimited public-holiday calendar are defined from the panel; the validator also plays a greeting message and sound. An important privacy detail: only the day-month is carried on the card, the birth year is never stored anywhere.

Can monthly passes or "10 rides" style packages be defined?

Yes. With the Blue Card (monthly pass) and Limited-Use Ticket (package-based ride credits) types, the passenger picks a package and the system keeps an automatic counter; once credits run out the card is automatically rejected.

Security and Audit

Will another municipality's or system's card work on our device?

No. Each operator has its own encrypted card key; a card obtained externally or copied cannot work cryptographically and never appears in the panel.

How do you detect a cloned card?

The Clone Suspicion Report (R16) automatically catches physically impossible cases, such as the same card being used on different devices within 120 seconds, and lists them in a dedicated report.

Will we lose revenue if the device software is cracked?

No. The fare written to the ledger is always the amount calculated by the server; the device's own claim is never accepted as revenue. Even if the application is reverse-engineered, no fake transaction can be produced.

Can I track what staff do in the panel?

Yes. The User Activity Report keeps an audit trail. In addition, menu-level fine-grained permissions plus PC and working-hour restrictions let you limit each user's access individually.

Is the system privacy compliant?

The system is designed to keep personal data to a minimum — for example, the birth year is never stored for the birthday discount, only the day-month is carried on the card. Access is isolated by role and at the row level.

Reporting and Reconciliation

How many reports are there, and how do we hand them to accounting?

There are more than 20 ready reports (22 in the current catalogue). All support Print/PDF/Excel, are filtered by branch, and several can be scheduled for automatic email. Details: fare collection reporting.

How is bank reconciliation handled?

The Total Revenue Report presents the daily total loaded in a form suited to bank reconciliation; the Top-up Z Report produces an official cash-register style end-of-day document with a unique number, frozen against later edits.

Can I see revenue per vehicle / plate?

Yes. The Taps by Vehicle Plate Report gives per-vehicle, day-by-day tap and revenue analysis broken down by card type — used for revenue sharing between cooperative members.

Operation and Support

How is a lost or stolen card cancelled, and what happens to its balance?

The card is cancelled from the panel and blacklisted; after cancellation it works on no validator. The balance refund process is handled from the Card Cancellation and Refund screen, and all refunds are tracked in the Daily Refund Report.

Can multiple branches or vehicle fleets be managed from one panel?

Yes. Because devices sync automatically over SIM, fleets in different cities are managed from a single cloud panel; each branch and dealer sees only its own data.

Which languages do the panel and device interface support?

Turkish, English and French. On the device side, screens, voice announcements and error messages also work in all three languages.
